As with any new software purchase, there are always some adjustments to your operations when it comes to implementation. But dental practices don’t have time for disruptions to their imaging workflow. That’s why our imaging implementation team is here to assist you throughout the process to make it as smooth as possible. Here are seven things you should know to get your practice up and running with Apteryx XVWeb Cloud Imaging quickly and seamlessly. 

1. What Function Does Apteryx XVWeb Serve for My Practice? 

If you own a smartphone, you probably have hundreds, if not thousands, of pictures saved on your phone. As you know, you can back these images up in the cloud, such as Google Photos or iCloud for iPhones. That way, the photos are accessible on your phone, but they’re also accessible and backed up in the cloud. 

Apteryx XVWeb serves the same function for your dental images. Think of your local storage as you would the pictures saved to your phone, and Apteryx XVWeb is where your images are stored in the cloud. 

A key benefit of backing images up in the cloud with Apteryx XVWeb is that if, by some chance, your servers crash or you lose the data because of a natural disaster or theft, Apteryx XVWeb provides continuous backups and disaster recovery for your images in the cloud. 

2. How Do I Access Apteryx XVWeb? 

Because Apteryx XVWeb is cloud-based, you access it using your practice’s unique URL and login. You can go to this unique URL from any web-enabled device in the world to access your images.   

Once your practice purchases an Apteryx XVWeb subscription, one of the first emails you’ll receive is the email containing your practice’s unique URL and a temporary password. You will not be able to log in and access  Apteryx XVWeb if you do not have your practice’s unique URL and password. You’ll want to save this email and the unique URL since this is where you’ll need to go every time.  

The most significant benefit of having cloud accessibility for your dental images is that you’re no longer only tied to local servers. Apteryx XVWeb enables you (or anyone in your office) to be able to access images from anywhere via the web. That means on weekends, evenings, even on vacation, if a patient has an emergency or you need to consult on a case, you can quickly view any image as long as you have internet access. 

3. What is XVCapture, and How Does it Work with Apteryx XVWeb? 

Included with your Apteryx XVWeb subscription is XVCapture, a capture software that works with Apteryx XVWeb to streamline your imaging workflow. 

While XVWeb is the software that you use to access images on the web, XVCapture is the software you use to acquire and capture your images in your operatories. Continuing with the above cell phone example, think of your sensor as the camera lens that’s built into your smart phone and XVCapture would be the camera software that lets you take pictures. In your clinic, you will likely have XVCapture installed on your computers in your operatories, where you take X-ray images. You’ll use both XVCapture and XVWeb for your imaging capture and viewing workflow. 

4. How Do I Start Capturing Images?   

You can either choose to bridge your imaging capture via the web, or you can bridge through your practice management solution. In either option, you’ll open up XVCapture, and your patient information will either auto-populate as you prepare to capture X-rays, or you can enter the information manually. Once you’ve purchased, we will walk you through both options during training to give you the pros and cons of both to help you determine what will work best for your practice.  

Within XVCapture, you’ll see that you can choose to capture a single image or a layout with multiple progression capture. If there’s a modality or progression that you need, but you can’t find that choice, submit a support ticket, and we will help customize it for your practice’s needs. Because it’s fully customizable, we can add or delete any modality or progression to best suit your practice. Once you’ve selected the layout, you’ll click on capture image to start the capture progression.  

5. What Happens After I’ve Captured My Images?   

After you’ve captured your images in XVCapture and you’ve previewed them to make sure you don’t need to take any more retakes or reorder any images, you can click “done” to send the images to the Apteryx XVWeb cloud. Then, the images will be automatically synced with Apteryx XVWeb, which you can think of as your viewing software. The beauty of storing images in the cloud with Apteryx XVWeb is that once the images are updated in the cloud, anyone in your office can view the images securely. 

Within Apteryx XVWeb, you can view, manipulate, or securely share images. The ability to share images via a HIPAA-compliant sharing portal is sure to help your imaging workflow as you are able to easily send images to insurance companies and external providers. 

6. How Do I Know My Data is Secure?

With more and more healthcare organizations, including dental practices, being targeted for cyberattacks, we take data security very seriously. Once your images are backed up in the Apteryx XVWeb cloud, your data is hosted in a secure Microsoft Azure data center, where it is protected with the highest level of data security. In addition, your Apteryx XVWeb subscription includes disaster recovery, intrusion detection, and regular backups to protect your patients’ data and your practice. Lastly, unlike an on-premise solution, you will always enjoy the most recent version of Apteryx XVWeb with all software updates and upgrades included in your affordable monthly subscription.  

7. What If I Have a New Staff Member or I Need a Refresher on Training? 

Within Apteryx XVWeb, you’ll see a small icon of a kiwi bird in the upper right-hand corner. If you click on it, it will take you to training videos, user guides, and release notes. These same resources are available on the Client page of the Planet DDS website.
